We have rolled out a new GitLab integration that allows embedding rich issue and merge request information directly into an Outline document. The integration works with both GitLab.com and self-hosted GitLab instances.

These new mentions will, of course, stay automatically up-to-date. To get started, connect your GitLab installation in Settings -> Integrations and then paste an issue or merge request URL from GitLab into the editor and selection "mention".

MCP (Model Context Protocol) is an open standard that lets AI assistants like Claude, Cursor, ChatGPT, and others directly search, read, create, and edit documents in your Outline workspace. Once connected, your AI tools become an extension of your knowledgebase — able to find information, draft new docs, and update existing ones on your behalf.

Using the MCP you can:

• Search for information across your entire workspace
• Use your AI assistant to help you write and edit content in Outline
• Find, create, and resolve comments

Each Outline workspace now comes with an MCP server built-in, so you can connect your AI assistants in just a minute of setup. Check out the docs to get started.

Toggle blocks are a new block type that allows you to hide and show content with a click. This is useful for creating collapsible sections in your documents, such as FAQs, step-by-step instructions, or any content that you want to keep hidden until the reader chooses to reveal it.

To create a toggle block, simply type /toggle and select the "Toggle" block from the menu. You can then add a title for the toggle and any content you want to include inside it. When the document is published, readers will see the toggle title and can click on it to expand or collapse the content.

• We added a new Figma integration which allows unfurling information about Figma links in documents

Part 3 in our recurring series of improvements to tables in Outline. This release includes the following updates:

• Table columns and rows can now be reordered by dragging the column or row header to a new position
• Table cells can now have a custom colored background, use the new "Cell background" option in the toolbar to choose a color
• Sorting of table data is more natural for currencies, dates, and numbers
• Lists inside tables no longer break Markdown output
• Tables with merged cells now behave correctly when sorting

Other improvements

• Added the ability to choose custom color highlights for text
• Clicking on a group in the share dialog now shows it's members
• Added a hide/show completed items control for checkbox lists
• Added Alt-click to recursively expand or collapse sidebar documents and collections
• Added a preference for desktop notification badge with off, count, and indicator options

Passkey support has been added as an optional login method. You can now sign in with biometric authentication (TouchId, Windows Hello) or security keys instead of a password. Existing workspaces will need to enable this on the authentication providers screen.

Also in this release – custom emoji. Upload your own custom icons and emoji in the admin settings and use them in your documents, comments, and reactions. Custom emoji can also be embedded in documents as small icons.

Draw.io (Diagrams.net) diagrams are now fully supported, insert new diagrams through the block menu or by uploading an existing SVG or PNG that was created in Draw.io.

The original diagram data will be preserved and can be edited by clicking the "Edit" button that appears in the image toolbar. This will open the diagram in Diagrams.net where you can make changes and save, the updated diagram will then be reflected in your document.

You can now embed PDF documents directly into your Outline document. This feature allows you to display PDF content seamlessly within your posts rather than uploading them as attachments.

To embed a PDF, search for "PDF" in the slash command menu (/pdf) and select the "Embed PDF" option.

Other improvements

• Table controls are no longer broken when columns and rows are merged
• Fixed an issue where copying and pasting from Google Docs would fail due to embedded images not uploading correctly
• Edit permission on a single document now allows moving sub-documents
• Lots of performance improvements to database queries
• Fixed invisible buttons in emails viewed in dark mode

Outline now tracks document popularity based on views and interactions. This allows you to easily identify which documents are most relevant and frequently accessed by your team, these are surfaced in the new "Popular" tab and are given more prominance in search results.

Other improvements

• The sidebar was considerably cleaned up to improve the clarity of nesting
• The icon color picker now has a full spectrum selector
• We overhauled syntax highlighting for code blocks
• Double clicking on image and video resize handles now fills the media to document width
• Line height now auto adjusts for scripts with many ascenders and descenders such as Thai

You can now mention groups in documents and comments, making it easier to notify entire teams or departments at once. To mention a group, simply type "@" followed by the group name, just like you would with individual users.

When a group is mentioned, all members of that group will receive a notification, so use sparingly! Of course, this feature can also be disabled on a per-group basis.

• You can now comment directly on images within documents.
• Documents and collections in the sidebar now have context menus
• Typed urls are now automatically converted into clickable links

We added an additional display option for links in Outline. When a link is pasted into a document or collection, it can now be displayed as a "link mention" which shows the title and icon of the linked page.

Simply paste a link to try it out.

We've completely rebuilt the lightbox that appears when you click into an image. It now supports navigating between all the images and diagrams in a document, as well as zooming in and out, panning large images, and full keyboard and touch navigation.

Other improvements

• Typed URLs will now automatically convert to links when you press space or enter
• It is now possible to format text across cells in a table
• You can now right click on documents and collections to access the context menu

This week brings some great improvements to public sharing. You can now share an entire collection to the public internet – this much-requested feature is great for sharing structured help docs or several related documents with a single link, and works exactly the same as sharing a single document.

As an additional security measure the Share button will also display a globe icon if a collection is shared publicly.

Tables now have the ability to merge and split cells across rows and columns, use this to create more complex data layouts. You can merge cells by selecting multiple cells and using the merge option in the toolbar. To split a merged cell, select it and choose the split option.

We also added a new shortcut to create a table, just type |-- on a new line to insert a table.

• Editor blocks can now also be moved up and down with Cmd+Alt+Arrow keys.

We added the ability to subscribe directly to a collection. Get notified when a document any document is added or updated without having to subscribe to each document individually.

This week brings the ability to mention documents using the @ trigger. You'll find documents available alongside team members. This allows you to link to other documents within your content and keep the title and icon automatically updated. Keep typing to filter or create a new document inline.

• Added the Protobuf language for code blocks
• HEIC images are now supported for embeds

Introducing emoji reactions for comments – a much-requested way to respond to feedback and collaborate with team members. Every comment can now be reacted to with an emoji, and you can see who reacted to a comment and how many reactions it has received from the comment menu.

• There is now a Leave document menu item on documents that have been shared with you
• "Smart text" replacements can be disabled in preferences
• Mermaid diagrams now have syntax highlighting for their source code
• Publicly shared docs now have a button to toggle the sidebar
• cmd+f search in page now supports diacritics

The comment sidebar can now be sorted by the comment's position in the document. This is particularly nice for long documents where you want to see the comments in the order they appear rather than the order they were created.

Look for the sort option in the top right of the comment sidebar.

• When mentioning a user you can now search by email
• Publicly shared docs now have the option to disable search engine indexing
• CSV files can now be imported, they will be converted to a table
• Collections now include reverse alphabetical sorting as an option

It is now possible to add groups directly to documents, all members of the group will receive access to the document and all nested documents with the chosen permissions. Use this to share portions of a larger collection with a mix of stakeholders.

Groups will appear as a new sharing option in the existing Share button. See the guide to sharing for more info.

It's now possible to resolve comment threads on documents from the comment menu. You can always view and restore a document's resolved comments by clicking the checkmark icon at the top right of the sidebar. This provides a way to keep discussions focused and organized.

You can now select emoji and icons for both document and collection in one unified UI – this finally enables using emoji for collections and icons on documents. We also added even more new icons to choose from in this release.

This release adds the ability to highlight text in the editor in a variety of colors. This is a great way to draw attention to important parts of your document, or to categorize different sections. Use the upgraded highlighter tool in the selection toolbar to get started.

This week we've made some highly requested improvements to tables in Outline, this will be one of many improvements to the editor in the coming weeks and months. Here's what's new:

• Column resizing: You can now resize columns by dragging the border between them
• Full-width tables: Tables now expand to the full width of the editor
• More content: Table cells now support embeds, code blocks, and all other content types
• Toggleable headers: You can now toggle a header row and column
• Improved overflow: Tables now scroll horizontally when they're too wide for the editor
• Improved row and column controls: We've made it one click to add rows and columns

We've added a new Guest role to help you collaborate with external users on your documents. The Guest role allows you to share your documents with external users without giving them full access to your workspace.

When you invite a user as a Guest, they can only view and comment on the documents and collections you explicitly share with them – no default access applies.

We've added over 80 new collection icons to help you better organize your documents. You can now choose from a wide range of new icons to represent your collections from DNA, to a tent – there's a wider variety to choose from.

To change the icon of a collection, head to Edit in the collection menu and then click on the current icon.

The new GitHub integration allows you to connect your GitHub repositories to your Outline workspace. Once connected, links to GitHub issues and pull requests will show detailed information on hover, in a future update we will also allow expanding these links to show more context inline.

To setup simply head to Settings -> Integrations -> GitHub and connect one or more organizations.

This week brings user management to the document level. Previously all permissions were managed on Collections, but now you are able to share individual documents with specific people to view or edit. This is great for sharing private notes or drafts with a small group of people.

We also gave the sharing interface a new look and a lot more clarity over who has access to the document and what level of access they have.

To get started, simply click the Share button in the document header or check out the sharing documentation for more details.

One of the biggest problems with a team knowledge base is that it can be difficult to find the information you need amongst hundreds or thousands of documents. Even with great search it can be hard to know the exact phrasing to use to find the right document.

Now we've built a new feature that allows you to get direct answers to questions from your knowledge base simply by asking them in the search or command menu! Answers are dynamically generated based on the documents you have permission to access.

To get started, any workspace admin can enable the feature under Settings -> Features -> Ai Answers. Find out more information in the documentation, and let us know what you think!

We've made some great improvements to the way that document exports are constructed this week. These changes allow Mermaid diagrams and rich embeds to be rendered correctly in HTML and PDF exports going forward, other formatting was also improved to make these look even nicer.

Other fixes and improvements

• Embedded videos now display correctly when viewing a documents history
• Emoji's in templates are now applied correctly
• Mobile now has a "Share" option in the document menu
• Todo items in editor can now be toggled with Cmd+Enter (Ctrl+Enter on Windows)
• When copying a document you can now choose whether to include child documents
• Added support for Instagram and LinkedIn embeds

Outline now supports commenting on text inside of code blocks, this is particularly useful – as we all know that naming things is the hardest part of coding and now you can discuss the best name for that variable right inside of the code block.

You can now upload videos and embed a player directly into any Outline document. Just like images, we also added the ability to resize the video to fit and write a custom caption.

To embed a video simply drag and drop into the document, or find the "Video" option in the block menu. For more information checkout our guide to inserting blocks on Outline.

It's now possible to find and replace text in the document editor in both the web and desktop apps. You can access the find and replace dialog by using Cmd + f, or Ctrl + f on Windows.

The find and replace dialog supports both regular expressions and case sensitivity as well.

This week brings the addition of hover previews, you can now see the details of internal documents, mentioned users, and external links when hovering over them in the editor. We have built the system to be extensible so that previews of authenticated integrations (think GitHub, Linear, etc) can be added in the near future too.

Hover over any link in a document or comment to see the new functionality.

Code blocks have received a visual refresh and are now easier to use. Code highlighting was updated to look much better in dark mode and tons of extra languages were added in the last month.

Mermaid diagrams are now rendered in realtime as you type and also received the same visual improvements as code blocks.

Building on last months release of comments, this month brings in-app notifications support so you can quickly catch up on what's happening in your workspace and jump straight to the relevant document.

Collection admins

We also added the ability to make members admins in specific collections, this new role allows members to manage the collection details, including adding and removing other workspace members.

It's been a long time coming – commenting is finally available in Outline, opening up a whole new world of use cases and collaboration! While we iron out the kinks it's disabled by default, but you can enable the feature for your team in Settings -> Features -> Commenting.

Once enabled you'll see a new comments sidebar become available. You can add comments to any document or to a specific text selection, we also support threaded replies, notifications, @mentions, basic formatting and images in comments.

The new desktop app is a Windows application that allows you to access your Outline cloud workspaces from your desktop launcher. It is a great way to quickly access documents in multiple windows without having to clutter up your browser tabs.

This week brings support for the beginnings of custom theming. You can now change the accent color for your team to match your own brand which will be reflected throughout the UI.

• Escape now defocuses the editor when typing
• When selecting text and opening the link menu matching documents will now immediately be shown.
• Fixed an issue where it was not possible to tab and scroll on images on mobile
• It's now possible to upload multiple files at once from the block menu

Outline now supports importing and exporting documents in JSON format. This is useful for migrating data between Outline instances, or for backing up your data in a format that retains more information than a lossy Markdown export.

We also recently added HTML export, which can be used for archiving your data in a format that can be viewed directly in a browser.

• When we send an email for document changes that includes a modified table only the portion of the table that has changed is now included in the email
• Users with "viewer" permission can now subscribe to document changes
• Fixed an error that could prevent login with Microsoft if signed into multiple Microsoft accounts
• Drag and drop in the sidebar got a little smoother
• Links with strikethrough now work with the hover preview
• Added snytax highlighting for Visual Basic

We've made some improvements to the publishing flow in Outline – you can now create a document without worrying about where to store it first.

Before this update, you had to choose the location for a document before creating it, which could be frustrating for those who wanted to create a note quickly and worry about organizing it later. With the new publishing flow, you can create a document first and then choose where it will live in your knowledge base.

• We no longer show a Print option in browsers without a printer
• Avatars will now fallback to showing colored initials when offline
• Full width images in the editor are now aligned correctly in RTL docs
• We improved pasting of tables from desktop software such as Office and Numbers
• Fixed a bug where text in revision history was unreadable in dark mode
• Fixed a bug where pipe characters inside tables were not rendered correctly

All workspaces now have access to a new Google Analytics 4 integration, by adding your own Measurement ID it will be embedded in all public and team documents in your workspace allowing your team to measure views and activity across the knowledge base.

To use the integration you will first need to create a new GA4 property in your Google Analytics account, then copy the Measurement ID to the settings page in Outline at Integrations -> Google Analytics.

This week brings an additional layout option for images on Outline. You can now choose the "full-width" option to extend images to the edges of the page past the text content.

This works particularly well for wide pictures and photos, such as banners and headings across a documnt and for larger images with a white background where they can fill up more of screen by default.

The new layout is available by selecting an image and then choosing the "full-width" option in the toolbar that appears.

We are pleased to announce a new feature that allows you to export your documents in PDF and HTML format. This is a useful and much requested addition for anyone who needs to share their work with others but not publish documents on the public internet. PDFs are widely accepted and easily readable on any device.

You can access the functionality from any document menu, then select Download -> PDF, the file generation process will take a few seconds depending on the size of the doc and the number of embedded images.

The new desktop app is a macOS application that allows you to access your Outline cloud workspaces from your Mac's dock. It is a great way to quickly access documents in multiple windows without having to clutter up your browser tabs. Oh, and a Windows app is coming soon!

This week brings a number of improvements to search results in the app and Slack integration.

You can now use "phrase search" to find documents that contain an exact phrase, -negative keywords to exclude results, and partial matching with the *wildcard operators.

It is now possible to resize images in Outline. This is a feature that has been requested for a long time and we're excited to finally ship another foundational feature.

When editing simply drag the handles on the image to change the size. Images snap to a grid to help in alignment.

Code blocks in documents are now displayed with dynamic line numbers by default, if you prefer they can be disabled through a new setting found in user preferences.

We're excited to announce that you can now create multiple workspaces to support different departments, or organizations with the same SSO login methods.

Workspaces are currently billed and managed separately and are available in the workspace switcher in the top left of the app or through the command menu.

From today we're now able to display a rich "diff" of what has changed in a document since it was last edited. You'll see this view in email notifications and when navigating through the document history sidebar…

Tip: You can quickly open the history sidebar by clicking on the last edited timestamp.

Since the launch of viewer permissions we've heard requests for a need for increased flexibility. As of today it's now possible to upgrade the permissions of workspace viewers in individual collections.

Simply add the viewer member to a collection and change their permission to "View and edit" the same as you might a regular member.

Sometimes you want to keep an eye on a document without having to open it, or you want to be notified when a document is updated. You can now subscribe to documents to receive notifications when they are updated by other team members. To subscribe to any document, click the "Subscribe" button in any document menu or access through the command menu with cmd+k on macOS. (ctrl+k on Windows/Linux).

You will automatically be subscribed to a document when you create or edit it, but you can unsubscribe at any time.

We've been working hard behind the scenes to make authentication more flexible for teams following on from team domain restrictions.

It is now possible to sign-in to your Outline account with a personal Gmail account if you have already been invited to the matching email address.

We're excited to have full support for Mermaid diagrams in Outline. Mermaid is a simple markdown-like syntax for generating diagrams and flowcharts from text. It's a great way to add diagrams of all types directly in your documentation.

You can insert a Mermaid diagram directly into a document by using the /mermaid slash command or by setting the code block language to "Mermaid Diagram".

Another catchup of improvements and fixes from May that haven't been covered in larger updates, we're always working on making the app faster and more reliable…

• Lots of backend performance improvements to improve loading speeds, particularly for large collections
• When importing a document a revision is now written immediately so that it can be restored to the imported state
• Suspended users are no longer shown as collaborators on documents they've previously edited
• The submit button is now focused by default in confirmation dialogs
• We improved the user matching of searches from Slack
• Links with in-page anchors are no longer broken when a document is renamed
• Emoji's and embeds are now copied to the clipboard correctly when copying document text
• Formatting toolbar now appears only once the mouse is released
• Improved search indexing for publicy shared documents
• Secondary clicking a link in the editor no longer causes it to open

This week brings two new security settings. It's now possible to restrict all sign-ups to your team to a specific domain name through "Allowed domains". This setting applies in addition to SSO and will disallow users from creating accounts that do not have a confirmed matching email domain.

We also added the ability to restrict sign-ups through SSO completely, so that users must first be invited by an admin. Both of these new settings can be found under Settings -> Security.

• Dropping files into a document now works more reliably
• It's now possible to manually resend outstanding invites
• Link previews and search now work inside collection descriptions
• cmd+n browser shortcut to open a new window no longer creates a new document
• It's now much easier to create inline code marks
• Fixed an issue that meant you could not share a search results page
• The disabled state of document embeds now persists between reloads
• It's now possible to fetch a document from the API without knowing its full slug
• Fixed an issue where collection names with slashes would produce an invalid export

Thanks to a community member Emir this week brings application-wide Turkish translations 🇹🇷. If your system is set to this language we'll automatically suggest switching Outline's language to match, or you can go to Settings -> Profile -> Language to update.

Thanks to an open source contributor Limezy, we now have support for interactive tldraw embeds. These look really fantastic inside Outline and allow multiple people to draw together inside a document.

To get started head to tldraw.com, click on the cursors icon in the top left and select "Create a Multiplayer Project" – paste the url into an Outline doc.

This week brings three new integrations – just paste a share link in any document to get a rich, interactive, embed.

• JSFiddle – an online IDE for writing and testing code snippets ("fiddles") in the browser.
• Gliffy – an enterprise diagramming tool for creating flow charts, database diagrams, and wireframes.
• Otter.ai – allows interactive annotated meeting notes to be embedded in documents.

If you publicly share a document with nested document sharing enabled we'll now display a search input at the top of the sidebar to allow searching the contents of all of the nested documents.

This is particularly great when sharing documentation and other larger collections of docs.

We added some new slash commands to insert the current date, time, or both into a document you're editing – and importantly these commands also work in document titles and are locale-aware! These are the new handy shortcuts:

• /date – Insert current date
• /time – Insert current time
• /datetime – Insert current date and time

Just like documents, collections can now be starred – once starred you can also re-order all of your stars with drag and drop to create your own custom sidebar. Star the things that are important to you and have them available for one-click access.

Tip: Did you know that adding an emoji in front of a document title will show it in the browser favicon and in the sidebar when starred?

Admin's now have a new option to disable creation of new collection by members, for more curated knowledge bases or larger teams this can help prevent documentation sprawling unchecked.

It's now possible to access all the settings screen directly from the command bar. You can access the command bar anywhere in the app using Cmd + k, or Cmd + Shift + k if you're in the document editor.

If you've not used the command bar yet, it's a fast way to access lots of functionality without taking your hands off the keyboard!

We're excited to finally add one of our most requested features – file attachments in documents. You can now upload arbitrary files and embed them directly into a doc for your teammates to download, file attachments work on publicly shared links too.

This months shipped improvements are lots of small details, alignments, bug fixes, and editor improvements. In the background we have been busy building long-awaited file attachments and search for publicly shared documents, both of which will be shipped in the next month.

The editor gained a new emoji picker this month, just type ":" and a search term to quickly find relevant emojis for your document!

The collaborative editing beta has been progressing well and we continue to let it new teams. The last few weeks have largely been spent fixing and improving this functionality for a broader launch, but some other things snuck in too…

Task lists

You've been able to create a task list or a checkbox list in Outline for a while, but this week brings a nice improvement - we added task summaries so you can see how many tasks a doc contains and how many are completed without even opening it!

This is great for simple checklists such as new employee onboarding or a release checklist that you wouldn't neccesarily put in an issue tracker. You can also create repetitive task lists in templates.

Document history improvements

The history sidebar was rebuilt to shows more than just edits, it now also includes archive, delete, publish, moves, and other events that happen during the document's lifetime.

You can find the new sidebar by clicking on the last edited timestamp or under "History" in the document menu.

• We've made a number of server-side performance improvements
• The "Home" tab now defaults to show recently viewed documents
• Fixed an issue that potentially suppressed email notifications for document edits

Wow, another month has passed, here's a quick update on what's changed since June, as is often the case as well as the big stuff we've been working on a lot of "little details"
that make the daily experience better but aren't always immediately visible.

Improved search abilities

We're now tracking all the previous titles that a document has had to improve search results and increase the liklihood of surfacing the right document, even if you can't quite remember what it's latest title is.

Collapsible headings

We brought back the ability to collapse sections of a document under headings – simply hover over any heading to see a new control to collapse the contents. Your preference is stored locally and is not seen by other team members that view the document.

Drag and drop to archive or delete

You can now drag and drop documents from the sidebar directly into the archive or trash, similar to how you would move or reorder. There's a cute animation included to let you know what will happen too.

• Lots more translation hooks were added, we're very close to 100% coverage so that the entirety of the UI can appear in the language of your choice.
• Added access to the Table of Contents on mobile
• Fixed an issue where the star option would appear for templates
• Fixed the "publish" button being disabled on drafts when not editing them
• Added new language options – Persian and Japanese 🌏
• Added support for Google DataStudio embeds

This week we've shipped lots of little improvements, one thing you might notice is that collections in Outline no longer have a long UUID in the address bar, instead you'll see a shortened id and a friendly version of the collection name. Not only is this nicer to look at, but it also makes quickly returning to collections via searching in the address bar much easier!

Last week brings some great improvements to public document sharing. We recently simplified the sharing dialog to a popover and now added the ability to share an entire tree of nested documents too. This much-requested feature is great for sharing structured help docs or several related documents with a single link!

As an additional security measure the Share button will also display a globe icon if a document is shared publicly because one of it's parents has been shared.

• Images now show a Download button for easy downloading of images in a document
• In the share dialog see when the link was last accessed
• Improved behavior when typing words that include underscores in the editor
• Improved behavior with the cursor around the edges of inline code
• Added support for Descript embeds

We've rolled out a number of UI improvements in the past couple of weeks within documents. It's now possible to see who on your team has viewed a document, simply click on the "Viewed by X people" text beneath the title for a detailed flyover of everyone that has viewed and when.

The pile of faces at the top right of a document continues to show who has previously edited or is active right now. We'll be adding more detailed team-level insights soon!

We’re excited to finally add a new sign-in method, Microsoft! Whether you’re using MS Teams, Education, or Office 365, you can now use your organization’s Microsoft account to sign-in to Outline and build a knowledge base.

We’ll soon be working on adding Microsoft Teams integration to allow searching and accessing your Outline documents directly from chat too, just like Slack.

In the last couple of weeks we've deployed two changes that together really improve the permissions story in Outline. It's now possible to make a user a "viewer" at the team level, meaning they will not be able to edit any collections or documents at all.

We also added the option to make the default access level for a collection "view only", you can then select just a couple of team members to have edit permissions.

Building on our sidebar improvements from the start of the year, it's now possible to reorder collections in the sidebar as a team admin – changes to the sidebar are synced to all team members. We also added reordering of list items in documents with a new drag and drop handle or the handy ALT+Up/Down shortcut.

This week brings PWA support to Outline, allowing you to install the app to your desktop and dock in just a couple of seconds. We've been enjoying how lightweight this install is while keeping the two best parts of a native app experience – an icon in the dock and a dedicated window. To try it out, head over to the app, signin, and hit the "Install" button that appears in the address bar.

2020 wasn’t without its challenges for many of us and I personally feel lucky to have gotten through the year with health and happiness intact. For Outline it was the biggest year ever for new features, fixes, and the growing community. Whether you’ve been following intently or this is the first time you’ve come across Outline here are some highlights from the past year:

📝 A new editor

We started the year with a new editor, completely rewritten from the ground up on the Prosemirror framework. It’s now several orders of magnitude faster than the previous version at rendering both large and small documents, mobile compatible and a really solid base for the future. The editor is open sourced under a BSD license so you can play around with it in your projects too.

⚡️ Performance

I was already proud of Outline’s performance, and this year continued that focus. Special effort was put into dropping the initial download size of the entire application by more than 2Mb’s to ensure the app loads incredibly fast and documents load in milliseconds.

🆕 New content types

With the new editor came new functionality such as highlights, notice blocks, and rich embeds like Google Slides – plus a /slash menu for quickly performing actions with only the keyboard. A special focus was also put on linking with automatic backlinks, on-demand creation of new docs from within the editor, and hover previews for internal links. All this and still fully Markdown compatible.

👨‍👨‍👧‍👦 Permissions + access

In March we made strides in improving the Outline experience for different kinds of teams with the addition of groups, group permissions, and read-only access to collections. Email sign-in for guests that aren’t part of your main organization and optional custom domains we’re also added.

📄 Shared templates

One of the hardest things with building a team knowledge base is keeping consistency of information. In August we introduced team templates that let you define shared templates across the team that even include fillable “fields” to make starting new documents easy.

🇺🇳 Translations

One of the biggest advantages of having an open codebase is the contributions that are made from all around the world. It was always an aim to translate Outline and this year André made that happen with implementation of the translation framework and process integrated with CrowdIn

Outline is now translated into 5 languages, with more just around the corner.

🌎 Social impact

When I think about the places that Outline should direct its impact as a company, top of the list is in helping efforts that are tackling climate change. It’s easy to ensure that our own operations are carbon neutral as the footprint is so small – but this year we’ve also comped accounts to teams and communities working on climate change, and as of November 1% of all revenue is being donated to actively remove carbon from the atmosphere.

The year ahead…

For 2021 the roadmap is full and I’m excited to think about where the product will be by this time next year. Here’s a sneak peak of a couple of things that are “coming soon”… \n

• A continued focus on performance to ensure Outline remains the fastest knowledge base on the market.
• “Bulk import” from other tools including Confluence and Notion
• Realtime collaboration to allow multiple document editors at once

The last few weeks has seen a surge of support in the community for translating Outline. We're proud to now have initial support for the following languages in the product - head over to settings to choose your native language if you haven't already.

This week we're really excited to kick-off a community translation project. Over the last month there has been a lot of work to hook up the framework and processes for accepting translations and it's now finally ready to use. A special thanks goes out to André Glatzl for pushing this forward.

Accepted translations are automatically merged back into the codebase and will be available in the following release.

Right now German and Portugese are already >30% complete and we're looking for some folks to take the lead on Chinese, Japanese, and Spanish in particular.

This week brings support for custom domains to the cloud hosted version of Outline. Now you can easily have wiki.myteam.com or kb.yourcompany.com without the hassle of hosting your own Outline servers.

We've made further improvements to importing, in particular it's now possible to import .doc files that are exported from Confluence, this is now the recommended format to get content from Confluence into Outline as it supports the greatest range of formatting – including tables.

We plan on releasing a CLI tool soon to allow bulk import for Confluence, Notion, GitHub and other services – watch this space!

Platform

• Teams using Google Workspace to sign-in can now still search their wiki from Slack after connecting in settings (previously this required Slack auth).
• Notification emails are now a little delayed to reduce the chances of receiving too many.
• Realtime connections are now more performant in Safari, aka the websocket doesn't always fall back to long-polling!

Editor

• When scrolling to headers from the table of contents the document will no longer scroll behind the fixed header area.
• There is no longer an erroneous pointer cursor on headings.

Other fixes and improvements

• Spotify embeds have been improved and better handle the wide variety of possible link types
• Fixed an issue that made it impossible to upload the same image twice without reloading the document
• Improved toolbar behavior to prevent it appearing with an empty selection

Much like last months update our focus continues to be on little details, performance, and bug fixing rather than new features – but some solid new functionality did sneak in with the help of open source contributors…

HTML + Word Import

You can now import HTML and Microsoft Word documents simply by dragging them onto a collection, or from the collection context menu. We also improved the look and feel of GSuite embeds.

New + Unread badges

Lists of documents now show when you last viewed the doc – and new, unread documents are highlighted with a badge so it's easier to spot changes you missed.

The last two weeks we've been focused on bug fixing, performance and reliability. We've always taken pride in the speed of Outline and keeping the app fast requires constant ongoing attention and maintenance. One place that hadn't been optimized in a while was the initial javascript bundle download size, which has now dropped from 2.8Mb to just 700Kb.

Today we’re adding the much-requested ability to create team document templates in Outline. Templates are a simple, but powerful way to keep your docs consistent and reliable. In the near future we’ll also publish recommended templates and make them easy to use from within your team.

How to create a template

There are two ways to create a template:

1. Navigate to "Templates" in the left sidebar, then hit "New template…" in the top right, choose a collection and write your template.
2. Find an existing doc that you would like to create a template from, click on the overflow menu "..." (usually in the top right) and then "Create template…".

Once you’re editing a template, simply highlight some text and click on the new "placeholder" icon in the toolbar to convert the text into a placeholder that can be filled out by anyone that creates a new doc from the template.

How to use a template

Simply start a new doc, a "Templates" option will appear in the top right corner until the document is first saved.

• Click on the last updated timestamp below the document title now opens the history sidebar.
• The behavior of the floating toolbar was improved.
• It is now possible to toggle the state of checkboxes without explicitly going into "Edit".
• When a document is publicly shared this is now denoted by a globe icon in the share button.
• Fixed some ugly styling issues introduced by the latest Chrome releases.
• Fixed an issue where after you have chosen a collection icon it might get reset if you continue to edit the collection name.
• Fixed a case where websocket connections would not reconnect automatically.
• Fixed an issue that would prevent editing the beginning of long collection descriptions.
• Fixed rendering of GitHub Gist embeds.
• Fixed an error that could on rare occasions cause the app to form a reload loop.

This week we added a new content type for your documents called "notices". You can use them to highlight information for readers such as important information, or to add additional context around the main content.

There are three types of notices available today – "info", "warning", and "tip".

How to use

As always, you can access blocks through the /slash menu, just type /notice on a new line, /tip, /warning and many others will work too so you don’t need to remember specific incantations… It’s also possible to type ::: as a shortcut to insert a new notice in a hurry.

• When creating a new collection an icon is no longer automatically chosen once you’ve picked one manually.
• We made some improvements to last releases "hover previews" so that more information is visible.
• There is now a link to create an account from the sign-in page.
• Several styling, layout, and focus issues were tidied up.

• Hovering over internal links to other documents now shows detailed "preview cards" so you can get an idea of the document without clicking through.

This is the biggest release of Outline since we first published the source code. The editor is entirely rebuilt from the ground up for extensibility and speed, allowing us to move faster than ever before and is the culmination of more than 4 months of planning and work.

The improvements and fixes are almost too numerous to count, but the most important are listed below:

Enhancements

• Document rendering performance increased by leaps and bounds, some of our extreme test documents went from 30seconds -> 300ms to render
• A new menu for inserting blocks is much more intuitive than before, type "/" at the beginning of a line or hit the "+" button to trigger

• Updating a document's title now also updates any links to the document in other docs automatically
• "Highlight" now appears as an option in the formatting menu
• It's now possible to type a url in markdown formatting
• Quotes are converted to smart quotes as you type
• Support for paragraph breaks in list items
• It's now possible to choose the "system" theme and have Outline follow your system's dark mode preference – this is especially useful on macOS when dark mode is set to "auto" to go dark in the evenings.

• The table of contents moved from being hidden on the edge of the screen to optionally toggleable inline with the document content. It follows your scroll position, highlights the active section and is just generally much more usable now. This release includes references (or backlinks) – these are automated links that are shown at the bottom of a document telling you which other documents it was linked from. Backlinks have been a feature of wiki software for many years and it's great to have first class support in Outline.

To create a reference you only need to link to another document in your knowledgebase.
